3 Explain who needs to talk at the same time

Explain how many groups need simultaneous communication, as well as how many radios you want to hire.

Will security, parking and logistics have separate dispatch? How will supervisors reach each group? Who receives emergency calls? These decisions affect channels, talkgroups and operating procedures.

Channel names, programmed channel capacity and radio resources available on site are different concepts. Ask the supplier to plan around lawful configurations and actual simultaneous-call requirements, rather than discovering conflicts after each contractor has configured its own equipment.

4 Test both directions under deployment conditions

Test along staff routes. Confirm that each critical position can both receive and send a clear message back.

Cover real paths such as entrance to control point, parking to dispatch and backstage to supervisor. If a repeater is used, test with the final antenna location, power supply and all relevant equipment. Where practicable, repeat tests after other teams activate their equipment.

6 Document handover and backup arrangements

At equipment handover, confirm:

Radio identifiers, position assignments and channel instructions

Battery operating plans, spare batteries, charging locations and the person responsible for rotation

Headset compatibility with the actual radio model and wearing arrangements consistent with site safety requirements

Spare-radio quantities, fault contact and support hours

The tested backup contact method to use if primary communications fail

If mobile phones or Push-to-Talk over Cellular (PoC) are proposed as backup, check network availability during the event’s busiest periods.
