What we collect
Depending on how you contact us, we may collect:

- Phone number and WhatsApp number
- Email address
- Company name and your job title
- Delivery or billing address
- The event, project, or site you need radios for
- Quote details, order details, rental duration, equipment list
- Payment references (we don’t store card numbers — payment providers handle that)
- Repair, warranty, and service history
- Messages you send through our website, WhatsApp, email, or phone
- Standard website analytics (IP address, browser type, pages visited, referrer, cookies)
We don’t intentionally collect sensitive personal data (NRIC photos, financial records, health information) unless there’s a specific lawful reason and you’ve given it to us directly.
How we collect it
We collect personal data when you:
- Submit a form on our website
- Send us a WhatsApp message
- Call or email us
- Request a quote
- Place a rental or purchase order
- Arrange delivery, pickup, or collection
- Send a radio for repair

What we use it for

- Recommending the right radios, accessories, or setup
- Processing rental and purchase orders
- Arranging delivery, pickup, or return
- Invoicing, payment processing, and accounting
- After-sales support, warranty, repairs
- Keeping business records as required by Malaysian tax and accounting law

- Sending service-related messages (order updates, delivery status, repair updates)
- Occasional marketing messages, with an opt-out option

Who we share it with
We don’t sell your personal data. We share what’s necessary with:
- Courier and delivery partners — to ship your order
- Payment providers — to process your payment
- Accounting and tax professionals — for our books and statutory filings
- Website hosting, IT, and analytics providers
- Government or regulatory authorities — when required by Malaysian law
We don’t transfer your data outside Malaysia for direct marketing purposes. Where data is processed by third-party services (such as website hosting or email), it may be stored on servers outside Malaysia — we choose providers with reasonable security practices.

Data security

How long we keep it
We keep personal data only as long as we need it for the purposes above — typically:
- Enquiries with no follow-up: 12 months
- Quotes and orders: 7 years (Malaysian accounting requirement)
- Rental records: 7 years
- Repair history: while the customer relationship is active, plus 3 years
- Marketing contact lists: until you opt out
After that, we delete, anonymise, or securely store the data depending on whether legal retention applies.
Your rights under PDPA
You have the right to:
- Ask what personal data we hold about you
- Request a correction if it’s wrong
- Withdraw consent for certain processing
- Opt out of direct marketing
- Ask us to delete data we no longer need to keep
Email sales@octogen.my with the subject “PDPA request” and we’ll respond within a reasonable time. We may ask you to verify your identity before processing the request.
Marketing messages
If we send you marketing messages, every message includes an opt-out method. You can also reply STOP to any WhatsApp marketing message, or email us.
Even if you opt out of marketing, we’ll still contact you about your orders, rentals, repairs, payments, and any safety or compliance matters — those aren’t marketing.
Third-party links
Our website links to other sites (Google Maps, social media, courier tracking, payment providers). We’re not responsible for their privacy practices — check their policies separately.
Changes to this policy
We may update this policy when our practices change or when Malaysian law changes. The latest version is always on this page with a “Last updated” date at the top.
